When the Northern Ostrobothnia Welfare Region (Pohteen) began operations in early 2023, Oulu wanted to implement a modern system—one that had already proven effective—for the internal ordering processes of its meal and cleaning services. Pohde looked to the City of Oulu as a model, where an internal ordering system based on the Ceepos online store had already been in use for several years and had proven to work well for the needs of a large organization.

An internal ordering system makes it easier to manage large projects

Pohde operates in 30 municipalities, and with the well-being region still in its early stages, there was a wide variety of internal ordering practices and systems across the different units.

The goal for the coming years is to standardize practices and eliminate time-consuming manual steps, particularly in high-volume units.

“At Pohde, the operation is so large that it was clear right from the start that internal orders would have to be handled through a proper system,” says Seija Oikarinen, a catering and cleaning services specialist.

The Ceepos internal ordering system was developed with a view to managing internal orders for meal and cleaning services at units located in the Oulu Well-being District.

Through an online ordering system, meal coordinators at senior living facilities and group homes for people with disabilities, for example, order the daily meals and cleaning services needed for their respective facilities.

An in-house ordering system reduces the likelihood of ordering errors, which can easily occur when orders rely on Excel spreadsheets and sticky notes.

An easy-to-use system for meal planners' daily use

The online store offers products for various types of meals, and special diets, for example, are catered to with their own product categories.

“Meal coordinators currently place about 20,000–25,000 meal orders per month through the system. On top of that, there are also home-delivered meal orders and other orders placed by our specialists,” Oikarinen explains.

In addition to various types of housing units, cleaning services are contracted, for example, for health centers and social and health services offices.

“Ceepos is an easy-to-use system, and the meal coordinators in the various units have learned to use it very quickly. We held a few training sessions during the implementation phase, and we’ve had very few questions about how to use the system since then,” Oikarinen says.

He is pleased that meal coordinators can now order the meals they need directly from the online store without having to constantly send emails. The order limits set in the system also help with planning and forecasting operations.

“It makes it easier to manage large-scale operations and reduces the likelihood of ordering errors, which can easily occur when orders rely on Excel spreadsheets and sticky notes,” Oikarinen notes.

The study has also identified opportunities to expand the use of the internal ordering system.

“As for cleaning services, we are currently discussing expanding the solution to other parts of the welfare region as well,” Oikarinen says.
