Loimaan Isännöinti streamlined its financial reporting process using electronic tools
Founded in 1988, Loimaan Isännöinti Oy is a long-established property management firm responsible for managing dozens of housing cooperatives in Southwest Finland.
The partnership between Loimaan Isännöinti and Confirma has deep roots: according to property manager Minna Mattila, Confirma’s Domus property management system was first implemented in Loimaa as early as 1998. New features and services have been adopted as they have become available.
“We’ve been using Huoneistotieto.fi for about three years now, and Tiliportaali.fi is currently in its second audit cycle,” recalls Office ManagerMinna Mattila.

Advanced digital tools have transformed the way housing associations manage their affairs. The busy spring task of preparing financial statements, which property managers used to face, now goes much more smoothly than it did a few years ago.
Loimaan Isännöinti uses the Tiliportaali.fi service, which is part of the Domus property management system, for its financial statements. Mikko Lehtonen, CEO and property manager, praises the user experience of Tiliportaali.fi:
– When the housing association’s board reviews the financial statements at a meeting, all documents are immediately uploaded to the system, and soon all the materials are already with the auditor or operational auditor.
In the past, it would easily take a property manager several days—or sometimes even weeks - to collect signatures, bundle documents, and mail them out. The process required a lot of manual labor and depended on the schedules and availability of several people.
The fact that the same task now takes only half an hour is reflected not only in the property manager’s increased efficiency but also as a benefit to the entire housing association.
“In my experience, thanks to the faster processing, general meetings can now be held a few weeks or even months earlier than in previous years, when audits were conducted the old-fashioned way,” Lehtonen says happily.
According to Lehtonen, housing associations are pleased that meetings no longer drag on into Midsummer week but can be held earlier in the spring. The importance of fast electronic document management is particularly evident these days, as traditional mail delivery has slowed down.
Smoothness at Every Stage
Tiliportaali.fi also makes it easier than ever to make all kinds of changes to financial statement documents.
"The financial statements are prepared using the same principles as before, but if the auditor points out that there are errors in the data or that information is missing, it is faster to correct them in the electronic system than it was before," says Minna Mattila.
“For example, if signatures are missing from the minutes, it’s easy to collect them from the relevant individuals using electronic signatures, and there’s no need to ask them to come to the office to sign their names,” Lehtonen adds.
In addition to the property manager and the housing association, auditors also benefit from this advanced process. Based on Loimaan Isännöinti’s experience, they, too, have quickly become familiar with the Tiliportaali.fi service.
"The first few times, there were some follow-up questions about how to use the portal, but now everything is going smoothly," Mattila says.
Through his work, Mattila has contributed to the development of the Domus solution into the modern property management system it is today.
“We’ve seen every stage of the Domuksen system’s development over the years, and yes, sites like Huoneistotieto.fi and Tiliportaali.fi, among others, represent major steps forward,” Mattila sums up.
